How to manage Tour Operator connection requests?

When a Tour Operator (TO) requests a connection with your DMC on KOOB, they request access to your Hotels, Experiences, and Trip Templates. Each product type must be reviewed and accepted or denied separately.

Accessing TO connection requests

When a TO requests a connection, you will receive an email notification at the Main Contact Email registered in your Organization Settings.

 

To review connection requests:

  • Navigate to Distribution in the KOOB dashboard.

  • Locate pending requestsโ€”indicated by an orange circle (new request).
  • Check the Hotels, Experiences, and Trips columns to see what the TO has requested access to.




  • Click on the wheel to open distribution details.

 

๐Ÿ“Œ Notes:

  • A green check โœ… means the TO already has access, while a red cross โŒ means access has been denied.
  • You can only open the connection by product type (Hotel, Experience, Trip) for the types requested by the Tour Operator.

 

 

Reviewing and managing TO requests

Each connection request is categorized into three product types:

  • Hotels ๐Ÿจ โ†’ Accommodation bookings
  • Experiences ๐ŸŽŸ๏ธ โ†’ Programs, Activities, Transfers, Extras
  • Trips ๐Ÿ—บ๏ธ โ†’ Pre-designed itineraries

๐Ÿ”น You must accept or decline each category separately.

 

Accepting a TO request

If you approve a TO request for a specific product category:

  • Click Hotel Settings, Experience Settings, or Trip Settings based on the TO request.

  • Configure visibility and pricing margins:
    • Set visibility to Show or Hide.
    • Define markup (percentage or fixed amount).

  • Click Accept (top-right corner).



  • A confirmation pop-up will appear โ†’ 


๐Ÿ“Œ Tip: The TO receives an email notification upon approval and can immediately book approved products.

 

Declining a TO request

If you choose to deny access to a TO for a specific category:

  • Open the request and go to Hotel Settings, Experience Settings, or Trip Settings.
  • Click Deny (top-left corner).



  • Optionally, enter a reason for denial for transparency.
  • Click Save to finalize.

 

  • A confirmation pop-up will appear โ†’

Meaning of connection statuses

Scenario Outcome
โœ… You accept & configure visibility The TO can immediately start booking your Hotels, Experiences, or Trips.
โŒ You Deny the Request The TO cannot book the denied products but may still see them (Showcase products).
New connection request (pending) The TO cannot book yetโ€”you must set visibility & margins first.

Managing existing TO connections

After accepting a connection, you can update settings at any time under My Connections:

โœ” Adjust pricing margins โ†’ Modify markup per TO.
โœ” Revoke access โ†’ Lock products from future bookings if necessary.
