How to edit or update a confirmed trip?

When a Tour Operator (TO) has finalized and confirmed a trip, adjustments may still be required. Whether it’s a date change, updated traveler information, or a switch in accommodations, KOOB allows Destination Management Companies (DMCs) to seamlessly modify confirmed trips while ensuring that all services are rebooked, tracked, and communicated to the TO.

📂 Accessing a confirmed trip

When a TO confirms a trip, KOOB automatically notifies the assigned DMC:

  • 🔔 You receive a KOOB notification

  • Go to Trip Designer > My Clients’ Trips

  • Use the filters to search by:

    • Trip name

    • TO name

    • Country or destination

    • Market

    • Segment

  • Click the arrow icon to open the trip details

 

  • Click 🟠 Update Trip in the top-right corner to begin editing

💡 Tip: Filters and search bars help you quickly locate the trip, especially if managing multiple TOs.

 

🛠️ What can be edited?

Once inside the Trip Designer (confirmed trip view), you can modify all aspects of the itinerary.

From the Trip Designer interface, you can:

🗓️ Trip-level changes

Click Update in the banner to modify:

  • Departure date

  • Number of days (KOOB updates the timeline automatically)

  • Number of pax (min and max)

 

 

📌 Note: Date or pax changes will automatically recalculate prices and affect experience availability.

 

🔁 Modify or replace experiences

  • Click the ❌ cross icon in the timeline to remove a program

 

  • Click Add Program to replace it with a new experience

 

  • Use the 📜 list or 🗺️ map view to search

  • Filter by:

    • Theme & Segment

    • Duration

    • Start/End locations

    • Price range

    • Guide / No guide

 

 

Color Meaning
🟢 Green Best matches – highly recommended for operational flow
🟠 Orange Compatible – works, but not optimal (Required options may apply)
🔴 Red Incompatible – blocked due to time/location conflicts

💡 Compatibility updates in real-time as you build, helping you make the best choices for flow and logistics.

  • Click "Select"

 

  • The program has been added to the timeline with the price
  • The Total Price "From" has been updated instantly
  • Continue to modify as requested by the TO or as you want to match with the needs.

🛏️ Edit accommodations

Click ❌ to remove an existing hotel

 

  • Then click Select Accommodation and the List button to add a new one:

 

  • 🔍 Search hotels → KOOB catalog

  • Click "Yes Continue" 

 

 

  • The Hotel has been added to the timeline with the price
  • The Total Price "From" has been updated instantly
  • Continue to modify as requested by the TO or as you want to match with the needs.

 

💡 Tip: If the hotel is already included in the program, it will show a green ✅ “Included” label

📌 Important: If you change the room type or dates, KOOB automatically cancels the original hotel booking and sends a new one to the provider.

 

⚙️ Modify options

KOOB supports three types of options to customize your trip:

Type Description
🧭 Global options Applied to the entire trip (e.g., private guide for the full program)
📅 Day-specific options Applied to a specific day (e.g., massage on Day 3, cooking class on Day 4)
🌐 Cascading options Secondary options that depend on a primary option being selected (e.g., select "City Tour" → then choose between “Bike” or “Walking”)

To add or manage options:

  • Click “Manage Global Options”

 

  • Click "Add option" on the desired option and "Save"

 

 

  • To add Day Options, click “Manage Day X Options” in the timeline

 

A pop-up opens to select:

  • Available options



    • Quantity (e.g., 2 seats, 4 massages)

 

  • Click Save to confirm

 

✅ Finalize and confirm the updated booking

 

  • Once you are finished, click on "Update Booking" 

 

  • Once you are finished, click on "Update Booking" 
  • You arrive on the finale confirmation page

 

📌 Step-by-step booking recap screen (DMC view)

  • At the top of the screen, you see:

    • TO name (e.g., KOOB TO)

    • Email and contact information

    • Trip name and reference

    • TO linked to the booking (e.g., KOOB for TO Demo)

 

📅 Experience overview section

  • All booked experiences are listed with:

    • Experience name and destination (e.g., The Best of Bangkok)

    • Dates and pax details

    • Total price per experience and price per pax

    • Included hotel if part of a module

  • You can read the cancellation policy by ticking the checkbox for each component.

 

🏨 Accommodation selection

  • Below each hotel module (e.g., Hotel The World of Siam Bangkok or Mandarin Chiang Mai), KOOB prompts you to:

    • Click “Choose a room” to select the required room type.

    • ⚠️ If this is not done, a warning banner appears:
      “Please complete the room selection. You have to select all the rooms before filling guest information.”

⚙️ Recap section (right-hand column)

  • Summarizes:

    • All selected hotels and experiences

    • ✅ Total price of the trip

    • Checkbox to confirm cancellation policies for all items

    • Final “Book” button to send bookings to suppliers

 

✅ What the DMC must do before clicking "Book"

  • 🔲 Select hotel rooms for each hotel section by clicking “Choose a room”

  • 🔲 Review total pricing and components for accuracy
  • 🔲 Confirm cancellation conditions by ticking the box
  • ✅ Once complete, click "Book" to validate and launch all bookings

  • Click "Go to trip details" to go back to the summary

 

 

🔄 KOOB booking logic: what happens behind the scenes?

When you click Update this Booking, KOOB automatically:

✅ Cancels outdated hotel bookings if dates or room types changed
✅ Reissues new hotel bookings with the updated configuration
✅ Confirms experiences that are unchanged or updated
✅ Adjusts pricing based on updated dates, components, and options
✅ Logs all canceled and new bookings in the Trip Summary

📌 You can track all these changes directly in the trip’s detail view, ensuring full traceability of actions.

 

🔁 Version tracking

  • If you need to recheck the versions, go back to "Update Trip"

 

  • Click the 🔄 Version button to access all past versions of the trip:
  • See who edited the trip and when

  • Compare changes across versions (dates, hotels, programs, options)

  • Roll back to a previous version if needed

📌 This versioning system is critical for ensuring transparent collaboration with your TOs.

 

📩 Communicating with the TO

After editing a confirmed trip, use the Trip Conversation tab to:

  • Explain changes to the TO

  • Highlight key updates (e.g., change in hotel or start date)

  • Clarify pricing if the total changed

  • Attach updated Travel Diary or documents if needed
