How to configure my organization’s information ?

Setting up your organization’s profile in KOOB is the first step to ensuring smooth collaboration with Destination Management Companies (DMCs). It ensures your company details, contacts, and preferences are properly configured for booking, receiving notifications, and managing destinations.

Accessing your organization settings

To begin configuring your profile:

 

  • In the left-hand menu, click “Organization”

 

  • Click “Edit Organization” on the top-right

📌 Tip: Keep your details up to date to ensure proper DMC communication and visibility in the Marketplace.

 

General information setup

Fill in the following main details:

Information

  • Logo → Upload your company logo for branding.
  • Organization Name → Enter your company’s official name.
  • City & Address → Specify your company’s headquarters.
  • Website → Add your website (use https:// format for correct linking).
  • Phone Number → Enter your main company phone number.
  • ZIP Code → Fill in your postal code.

 

 

  • Primary & Technical Contacts→ Define at least two key contacts within your organization.

 

📧 Booking Contact Information

  • Booking Reception Email → This is the primary email where you will receive booking confirmations, updates, and notifications.


  • Click “Save Changes” to confirm.

Example – Global Travel Experts (Paris):

💡 Tip: The booking email is where you’ll receive trip updates, version changes, confirmations, and cancellations.

 

Configuring operational parameters

 

Defining Currency settings

Your operating currency is crucial for handling pricing and invoices.

📌 Note:

  • You can only set ONE currency for your organization.
  • When booking, you may see different currencies if the DMC has set up specific contract pricing in another currency.

 

Destination Settings

Selecting your destinations allows you to access Hotels, Experiences, and Trips available in those regions.

  • Reach “Destinations” to select countries where you operate. You can use the search to save time.

  • Click “More” to filter by region if needed.

  • Define email contacts per destination by clicking on the envelope icon.

  • Add the email address that will receive booking notifications for that country.

  • Click “Save Changes” to confirm.

📌 Important: If you don’t select any destinations, you won’t see products in the KOOB Hotels and Marketplaces Catalogs.

 

Markets

Set your business type and operational language:

  • Typology → Choose between Tour Operator or Travel Agency.
  • Language → Select the main language used for operations.
  • Selling Markets → Define which markets you sell in (e.g., France, UK, Spain..).

  • Click “Save Changes” to confirm.

📌 Example: If your company sells luxury tours to European travelers, you might set:

  • Typology: Tour Operator
  • Language: English
  • Selling Markets: Europe, North America

 

Saving & finalizing your Organization setup

Once all details are entered:

  • Review your information to ensure accuracy.
  • Click “Save Changes” to apply changes.
