How to organize my templates in My Library?

The My Trip Templates section of the Trip Designer helps DMCs efficiently manage, sort, and update all saved trip templates. With filters, favorites, and quick edit tools, you can keep your template library clear, accessible, and always ready for distribution to Tour Operators (TOs).

🚀 Objective: Maintain a well-structured template library for smooth trip planning and seamless updates with TOs.

 

📂 Accessing your template library

  • Go to Trip Designer from the left-hand menu

  • Click on "My Trip Templates"

 

  • All your saved trip templates are displayed here, categorized by status

 

🧭 Using filters to organize templates

KOOB provides status filters to help you manage templates efficiently:

Status Definition
Available Finalized templates that are ready for distribution to TOs
🛠️ In Progress Draft templates still being built or edited
⏸️ Stand By Deactivated templates, hidden from TOs but stored for future use

 

You can also use the search bar at the top to filter by template name.

💡 Tip: Use the status filter to quickly locate templates based on their readiness.

 

❤️ Marking and retrieving favorite templates

To prioritize frequently used or important templates:

  • Click the ❤️ heart icon on a template thumbnail

 

  • To view only favorites, activate the "Only Favorites" filter in the top banner

💡 Tip: Use favorites to build a shortlist of your go-to itineraries for quick access.

 

🔍 Viewing template details

To preview a template’s full itinerary:

  • Click the 🔵 Travel Diary icon on the template thumbnail

  • The client-facing travel diary will open with the full itinerary breakdown

 

To export it:

    • Click the ☁️ Download icon in the top-right

 
    • A PDF version is downloaded, ideal for offline use or client previews

💡 Tip: PDFs are perfect for verifying structure or sharing with TOs before publishing.

 

✏️ Editing and updating templates

To make changes to an existing template:

  • Filter by In Progress to find drafts

  • Click “Edit Template” on the thumbnail

  • A pop-up window appears, allowing you to:

    • ✏️ Edit the template name

    • 🖼 Update the illustration image

    • 🔄 Change the template status (Available, In Progress, Stand By)

 

  • Click Edit Template again to reopen it in the Trip Designer and make itinerary-level changes

 

  • Update the main information on the pop up window ans click on "Update" 

  • The Trip Designer opens, allowing you to modify the Trip template and save it again (see the section at the top of this article).

 

💾 Saving and publishing templates

After editing or updating your template:

  • Click “Update Template” to save your changes

 

  • Choose one of the statuses:

    • Available → Ready to distribute to TOs

    • 🛠️ In Progress → Still in draft mode

    • ⏸️ Stand By → Temporarily deactivated

 

  • Click “Save as Template” to confirm the changes

💡 Tip: Keep only the most polished templates in “Available” to maintain a clean distribution flow.
