How can I structure my production to maximize TO personalization?

To empower Tour Operators (TOs) to create tailor-made trips, your production must be structured in a way that’s modular, clear, and optimized for customization. KOOB provides all the tools you need — it’s up to you to build a catalog that’s smart, flexible, and TO-friendly.

✅ Break down your production into flexible, reusable blocks
✅ Enable optional modules and pricing ranges for maximum adaptability
✅ Control visibility and margins per TO
✅ Optimize naming, languages, and photo quality for easy use

🚀 Objective: Structure your product catalog on KOOB to make it easier for TOs to personalize, combine, and book your content — while keeping control.

📌 Start with the 4 experience types

Each product you upload on KOOB must be assigned to one of the 4 core experience types:

Build from the smallest pieces

Upload your content in this order:

  • Extras

Extras are services that cannot be booked alone. They are only available as optional add-ons to transfers, activities, or programs.

✅ Cannot be booked alone – must be added to another experience.
✅ Used for customization & upselling.
✅ Can include services, equipment, permits, or special arrangements.

Examples:

  • Private guide upgrade for a city tour.
  • Personalized airport welcome service.
  • Portable WiFi router rental for travelers.
  • Fast-track airport VIP service.
  • VISA processing assistance.

📌 Extras allow customization and enhancement of existing experiences without being sold as standalone products.

  • Transfers

Transfers refer to transportation services that move travelers from one location to another by vehicle, train, plane, or boat. These can be booked as standalone services or as part of a larger itinerary (options).

✅ Fixed start & end locations (e.g., Airport → Hotel, City → City).
✅ Choice of transfer type (Land, Air, Rail, Boat).
✅ Vehicle & service details (e.g., private car, shared shuttle, economy/business class).
✅ Luggage policy, seating arrangements & onboard services.

Examples of Transfers:

  • Private car transfer from Bangkok Airport to a hotel.
  • Speedboat transfers from Phuket to Koh Phi Phi.
  • Domestic flight transfer from Hanoi to Ho Chi Minh City.
  • Luxury train transfer from Paris to Milan.

📌 Transfers are essential for connecting different segments of an itinerary or offering standalone transportation solutions for travelers

  • Activities

An Activity is a short-duration service that can be booked alone. It typically lasts from a few minutes to half a day and can also be added as an option within a program.

✅ Short-duration experience (minutes to half a day).
✅ Can be booked as a standalone service or as part of a program.
✅ Optional add-on for more flexibility.
✅ Guide and language selection available.

Examples of Activities:

  • 1-hour Thai cooking class in Bangkok.
  • 3-hour guided city walking tour in Paris.
  • Half-day snorkeling excursion in the Maldives.
  • Sunset camel ride in the Moroccan desert.

📌 Unlike Extras, Activities are visible and bookable directly on the marketplace if the "Can this product be booked on its own on the marketplace?" button is set as YES.

Activities are short, immersive experiences that TOs can book as independent services or integrate into larger programs

  • Programs (longer itineraries built from your blocks above)

Programs are structured multi-day excursions, extensions, or tours that include various components like transfers, accommodations, meals, and activities. Programs range from 1 day to unlimited days and are often the core products DMCs sell to TOs.

✅ Multi-day itineraries with structured day-by-day content.
✅ Can include accommodation, meals, and guided experiences.
✅ Combinations of activities, transfers, and services.
✅ Customization through options & extras.

Examples of Programs:

  • 6-day Bangkok & Chiang Mai Cultural Tour (including hotels & guided visits).
  • 12-day Vietnam Discovery (Hanoi, Halong Bay, Hoi An, Ho Chi Minh City).
  • 3-day Luxury Safari in Kenya (game drives & private lodge).
  • 15-day Self-Drive Tour in Iceland (car rental & suggested accommodations).

📌  Programs are pre-designed packages that TOs can book as ready-made tours or customize with add-ons and optional services.

Modular programs = better personalization

TOs may prefer programs with flexibility — avoid rigid “packages” with everything locked in. Instead:

  • Include 1 activity per day (max), not 2-3 grouped together

  • Make all other options available as Extras or Options

  • Separate guided and non-guided versions if needed

  • Offer programs per segment (Family, Adventure, Couple…)

📌 Example: Program: Discover Angkor in 4 Days

  • Day 1: Arrival + Optional Dinner Cruise (Extra)

  • Day 2: Angkor Wat Tour (Activity)

  • Day 3: Optional Sunrise Tour (Extra)

  • Day 4: Transfer to Airport (Transfer)

💡 Tip: In KOOB, TOs can add Extras and Activities to the Timeline — the more modular your production is, the easier their job becomes.

Set up price flexibility

All experiences can be configured with:

  • Per Pax (Yes/No) → Define if pricing is per person.
  • Add Pax Range → Customize prices for group sizes (e.g., 1-2 pax = $50, 3-5 pax = $40).

  • Add Children’s Price Conditions → Specify age brackets and rates.

  • Add Additional Periods → Define seasonal pricing variations.

  • Seasonal pricing periods → Different rates for high, low, and shoulder seasons.

  • Supplements and promotions → fine-tune your pricing by applying discounts or surcharges

  • Can this product be booked as a standalone?

    • YES → It appears in the marketplace as an independent experience (e.g., City Walking Tour).

    • NO → It must be part of a package or program (e.g., Extra like a SIM card or Spanish Guide).

  • Can this product be booked multiple times during the same trip?

    • YES → The TO can add it more than once (e.g., daily rentals, repeating tours)

    • NO → Only one occurrence allowed per trip (e.g., airport transfer, one-time welcome service)

📌 Use examples like:

Pax Range Price per Person
1-2 pax $50 USD
3-5 pax $45 USD
6+ pax $40 USD

Name Type Period Details
Early Booking Discount Promotion (10%) 90+ days before Applies to early reservations
Peak Season Surcharge Supplement (+15%) Dec 20–Jan 5 For festive season bookings

More info :

💡 Tip: Use the Promo/Sup tab to create temporary discounts or peak-season surcharges. These can be TO-specific and time-limited.

Customize by TO (pricing, visibility, distribution)

KOOB lets you control what each TO sees and at what price:

Feature Use it to… Example
TO Access Hide/show a product per TO Only show luxury content to selected high-end TOs
Margins Set markup visible to the TO TO A = 25%, TO B = 15%
Pricing Adjust net rate per TO $200 for TO A, $215 for TO B
Promos/Supplements Apply TO-specific discounts -10% for Early Birds (TO France only)

Upload media & content properly

For optimal readability and usability in the Marketplace and Trip Designer:

  • 📷 Upload at least 3 high-quality images per experience

  • ✏️ Write clear titles and descriptions (avoid “Copy of...”)

  • 🌍 Translate into EN at minimum, boost visibility and conversion in multilingual markets
(French, German, Spanish, Italian, Dutch, Portuguese)

  • 🧾 List included and excluded services : ensure clarity on what's covered

  • 📚 Use bullet points, not long paragraphs

More info : How to add media and images to an experience?

💡 Tip: TOs rely on your clarity. Bad formatting = skipped experience.

Create reusable templates for TOs

Use the KOOB Trip Designer to build base templates for your Tour Operators:

  • Drafts per destination or themes

  • Add optional extras and activities to your days

  • Offer different accommodation suggestions

  • Add daily and global options (primary and secondary)

  • TOs can duplicate, adapt, and reprice the DMC templates

📌 Label drafts clearly: “7D6N Vietnam North Adventure”
💡 TOs love templates they can adapt quickly — this is where personalization becomes effortless.
